Summary:
We are seeking a detail-oriented and reliable Accounting Assistant to join our finance team.
The primary focus of this role will be on data entry and providing essential support to our Accounts Payable (AP) and Accounts Receivable (AR) processes.
As an Accounting Assistant, you will play a crucial role in maintaining accurate financial records and ensuring smooth operations within the accounting department.
Responsibilities:
Data Entry:
Accurately enter financial transactions, invoices, receipts, and other relevant data into the accounting system.
Verify and reconcile data to ensure consistency and precision in all financial records.
Organize and maintain accounting files, both physically and electronically.
Accounts Payable (AP) Support:
Assist in processing vendor invoices and employee expense reports.
Review and verify invoice details, such as quantities, prices, and payment terms.
Prepare and process payments, ensuring timely and accurate disbursement to vendors.
Address and resolve any discrepancies or issues related to payments.
Accounts Receivable (AR) Support:
Assist in generating customer invoices and maintaining customer billing records.
Monitor and follow up on outstanding customer balances to ensure timely collections.
Collaborate with the sales team to address customer billing inquiries and resolve discrepancies.
Prepare regular AR reports and aging analysis for management review.
General Accounting Support:
Assist in month-end and year-end closing processes.
Support the preparation of financial statements, reports, and analysis as needed.
Collaborate with other team members to ensure accurate and timely financial data.
Compliance and Record Keeping:
Ensure compliance with company policies, accounting principles, and relevant regulations.
Maintain confidentiality and security of financial information.
Assist with audits and provide necessary documentation to auditors.
Requirements:
Education and
Experience:
A high school diploma or equivalent.
Associate or bachelor's degree in accounting, Finance, or related field is a plus.
Proven work experience as an Accounting Assistant, Data Entry Clerk, or similar role.
Familiarity with accounting principles and practices.
Technical Skills:
Proficiency in using accounting software and data entry tools.
Strong MS Excel skills for data manipulation and analysis.
Attention to Detail:
High level of accuracy and precision in data entry and financial record-keeping.
Ability to identify and rectify errors in data.
Time Management:
Excellent organizational skills to handle multiple tasks and prioritize responsibilities effectively.
Meet deadlines consistently.
Communication:
Strong verbal and written communication skills.
Ability to work collaboratively with team members and liaise with other departments.
Analytical Thinking:
Basic analytical skills to assist with financial analysis and reporting.
